FAQs
Plansom is an AI work simplifier. Turn your disconnected workspaces into a single goal-led view for people and AI agents to act on.
What Plansom is
What is Plansom?
Plansom is an AI work simplifier. Tell it what you want to achieve and connect the tools where work happens. Plansom creates plans for your goals, finds work in your connected tools and shows you what matters most right now. You can delegate to teammates and AI agents, then see how the work is progressing.
Why would I need Plansom?
Requests, decisions and tasks arrive in different places throughout the day. Keeping track of them, deciding what matters and updating the plan takes time. Plansom does much of that organising for you, so you can focus on getting the work done.
Does Plansom replace my email, Slack, CRM or project tool?
No. You can keep using those tools. Plansom connects to the ones you choose and uses the work happening there to keep your plans and priorities current.
Getting started
How do I get started?
Tell Plansom what you want to achieve, then connect a tool where your work happens, such as your email. Plansom can start identifying work from that source. You can review what it finds and connect more tools when you are ready.
Do I need to connect all my tools at once?
No. Start with one source and add others over time. Connecting more of your work gives Plansom more context.
Which tools can I connect?
Plansom connects to the tools where work happens, such as Gmail, Outlook, Slack, Notion, HubSpot and Granola, and to AI tools such as ChatGPT and Claude. Start with one and add others over time.
What happens when I connect a tool?
Plansom looks for meaningful work in the source you connected, such as requests, commitments and updates. It identifies potential tasks and places them under the goals and tasks they relate to. You can review and correct what it finds.
Does my team need to change how it works?
No. Your team can continue using its existing email, messages, meetings and work tools. Plansom uses activity from connected sources so people do not have to recreate every update in another system.
Goals, plans and priorities
Can Plansom create a plan for me?
Yes. Tell Plansom what you want to achieve. It creates a plan with goals and the work needed to reach them. You can review the plan, change it and invite your team.
Can I have more than one goal?
Yes. Plansom organises goals and the work beneath them, so you can see how tasks contribute to what you are trying to achieve.
Do I have to create tasks myself?
No. Plansom can identify and create tasks from your connected communications and meetings. You can also add tasks yourself and edit, reassign or remove anything Plansom finds.
Will Plansom turn every conversation into a task?
No. A conversation may contain information, a decision or a genuine commitment. Plansom looks for work that needs action. You can review its suggestions and remove anything that does not belong.
How does Plansom decide where a new task belongs?
Plansom uses the context from connected work to allocate new tasks to the relevant goals and existing tasks. If it places something incorrectly, you can move or edit it.
How does Plansom decide what matters most?
PlansomScore is Plansom’s proprietary prioritisation algorithm. It considers new requests and commitments alongside your goals and existing work. It ranks work by what needs attention, rather than simply showing the newest message first.
Why does My Day show three priorities?
My Day shows the three things that most need your attention now. It gives you a place to start without sorting through every open task. As work gets done and circumstances change, Plansom updates your priorities.
Does Plansom keep plans and tasks up to date?
Plansom uses activity from connected sources to identify new work and changes to existing work. You can review and correct those updates when needed.
Delegation and AI agents
Can I assign work to teammates?
Yes. You can delegate a task to a teammate with its goal and relevant context attached. The team can see who owns it, subject to their access.
Can I assign work to an AI agent?
Yes. You can activate an AI agent for work suited to it and follow its progress and result in Plansom.
Do I have to build my own agents?
No. Plansom includes built-in agents. It is also designed to let teams connect agents and AI workflows they already use, so they can manage that work alongside work assigned to people.
What is AI autopilot?
AI autopilot lets Plansom take on more of the planning, prioritisation, delegation and execution you would otherwise guide yourself. You can start hands-on, review how Plansom handles the work and turn on autopilot when you are ready.
Can I still step in if an agent is doing the work?
Yes. Plansom is designed to keep agent activity and results visible, so a person can review the work and step in when needed.
Can I see what an agent did?
Plansom shows what work an agent was assigned, its activity and the result.
Teams and visibility
How does Plansom help a team lead?
A team lead can see who is working on what, what has been completed and what is stuck across people and agents. They can check progress without asking everyone to prepare a separate status update.
What can my manager or teammates see?
People can have different levels of access. Your own view can show your priorities, while a team lead can see relevant team work. Plansom shows each person what they need for their role without exposing work they should not see.
What if several people are part of the same conversation?
Plansom is designed to identify who owns an action rather than create the same task for every person in the conversation. The owner sees what they need to do; others with access can see who has it.
Can I work with clients and partners in Plansom?
Plansom is designed to support work across teams and organisations. Relevant goals and tasks can be shared with clients or partners while access to other work remains restricted.
How Plansom is different
Could I use ChatGPT or Claude instead?
ChatGPT and Claude can plan, find information through connected tools and carry out work. Plansom’s job is to maintain a shared view of your team’s goals, tasks, owners and priorities as work changes. Work done by an AI assistant or agent can then fit into the wider plan.
How is Plansom different from a project management tool?
Project tools can plan, assign and track work, and many now include AI. Plansom starts with your goal and the work appearing across connected tools. It allocates that work to goals and tasks, ranks what matters now and keeps the view current as work moves. You may use Plansom alongside a project tool you already like.
How is Plansom different from building my own AI workflows?
A custom workflow can be useful for a specific, repeatable process. Building and running several of them takes setup, maintenance and oversight. Plansom brings planning, priorities, delegation and agent activity into one place, with built-in agents available so you do not have to build every workflow from scratch.
Privacy, security and control
What does Plansom access when I connect email or another tool?
Plansom accesses information from the sources you choose to connect so it can identify work and updates.
Is my data used to train AI models?
Customer data is not used to train the underlying AI models.
Can I edit or remove something Plansom found?
Yes. You can review, edit, reassign or remove tasks Plansom identifies. You remain in control of what belongs in your plan.
